JOB OVERVIEW:

The CAFM Admin is responsible for the administration and operation of the Computer Aided Facilities Management (CAFM) system. Carry out quality and performance checks and reviews for the proper implementation and usage by onsite service provider. Liaise and follow up with Supplier Technical Support for any malfunction’s corrections, updates, enhancements, expansion, additional integrations…etc.

DUTIES AND RESPONSIBILITIES:

  • Adhere to Data Center policies and procedures in addition to industry standards and Health & Safety rules.
  • Identify CAFM system issues and seek input from users regarding ongoing development, playing a pro-active role in the development of the system as required.
  • Maintain all aspects of systems security including setting up new users, assigning permissions and reporting on user activity.
  • Arrange Access with end users as approved by management.
  • Ensure that the Asset Register is up to date: additions, deletions, and changes.
  • Ensure all assets are assigned to their correct location and data field sets.
  • Ensure the relevant maintenance plans are applied to assets as defined per DC site.
  • Ensure the correct task descriptions are linked to all maintenance plans as defined in the approved maintenance plan.
  • Ensure the correct H&S information is linked to assets and maintenance tasks as defined and approved.
  • Ensure all work carried out by in-house staff and vendors, for both planned and reactive maintenance, is properly recorded and that all spares and materials used are recorded against the correct asset.
  • Ensure all supplier/vendor lists are kept up to date on the CAFM Systems.
  • Ensure all staff resource lists are kept up to date on the CAFM Systems.
  • Monitor workflow and ensure Work orders are properly executed as per identified KPIs.
  • Ensure quality information is delivered to stakeholders through detailed reports.
  • Liaise with the CAFM technical support on various hardware and software related issues, including upgrades and backup’s.
  • Assist in identifying the systems’ training needs and requirements of users and liaising with external expert providers as applicable.
  • Liaise with all members of Staff and Contractors in arranging training sessions.
  • Carry out training as required, enabling staff to perform their duties
  • Keep up to date with new developments and technology.

REQUIRED SKILLS AND ATTRIBUTES:

  • Bachelor’s degree in Computer Engineering, Elec/Mech engineering or equivalent.
  • Minimum of 3 years of experience in BAS systems, or a similar field.
  • Previous work experience with CMMS and/or CAFM systems i.e. Maximo, Facilio, SGE, Maintenance Connection, FSI… or similar tools.
  • Knowledge of electrical and mechanical systems.
  • Accurate and dependable with an ability to multi-tasking.
  • The ability to think quickly and logically to respond to an emergency.
  • Exceptional communication to work in partnership with other teammates and stakeholders.
  • Basic report writing skills.
  • Advanced MS Office skills – Word – Spread Sheets and Databases.
  • Experience in designing CAFM Systems.
  • Experience with Personal Digital Assistant (PDA’s) systems.
  • Understanding the relationship between the CAFM system and the needs of the organization.
  • Understanding user’s requirements and the concepts behind various maintenance regimes.
  • Proven record of analytical thinking and problem-solving.
  • Ability to manage stressful situations and make informed decisions swiftly.
  • Technical proficiency in systems relevant to the role.
  • Excellent observation.
  • An eye for detail. Ability to identify small, apparently unnoticeable details that most people would ordinarily overlook.
  • Exceptional communication to work in partnership with other teammates and stakeholders.
  • Perseverance and patience.

TRAININGS AND CERTIFICATIONS:

Having these certifications/training is an advantage:

  • Certification or training in CAFM, CMMS software/tools.
  • Training in MS Office Computer Applications.

After being hired and to accomplish efficiently required duties & responsibilities, CAFM Admin should acquire the below required trainings:

  • Concept of Operation & Maintenance.
  • Site Configuration Procedures.
  • Facility Management Policies & Procedures.
  • Software Tools: BMS, EPMS, CAFM, UOC and other related software/tools…
